Which personal data do we process and for what purpose?

Employment seekers
If you seek employment in our company, we process your personal data in the extent in which it was provided to us. Without your consent, we only process your data for the purpose of your ability to apply for a particular position within a selection procedure. With you consent, we may store your data for later use, in case another position is open. You can download the consent form for the processing of your personal data, to send it, filled in and signed, along with your remaining documents. You may withdraw your consent at any time. We store your data for the time period for which you have provided consent, typically, for 5 years. After this time passes, we keep the consent form for an additional year, to be able to demonstrate that we store personal data in compliance with GDPR.

Suppliers
If you are our supplier or a supplier contact person, we process your personal data for the purpose of executing orders, fulfilling contracts or legal obligations connected to same. We process your personal data, in the extent of your contact details is processed by us on the legal basis of fulfilling the contract and legal obligations.

Online testing
In order to utilise our online system for testing, we need your personal information. We process it in the extent of contact details and data gathered during the testing, on a legal base of fulfilling the contract. The data will be used exclusively for testing, issuing results, sending the results and offering an appropriate course for you.

Online registration to courses and e-learning
You can register to your selected course or e-learning course through our website or the Google Docs form. Your information, which you provide in the registration form will be processed with the purpose to ensure your participation in the course and in line with the legal contract fulfilment. Courses for children
One of our activities are courses for children in various schools. If you or your child are participants to such a course, we process your personal data. We process it in the extent in which it is provided to us before and during the duration of the course. It will be used solely for the purpose of securing participation in the course and providing the selected courses at schools. Your personal data is processed in accordance with our legal obligations, which stem from the school codex.

Courses
In order to provide required services and fulfil all our legal obligations connected thereto, we process your personal data, in the extent of contact information and information gathered during the course. We process your data within the legal norms and to fulfil the contract and the legal obligation for the purpose of securing your participation in the course, providing said course and fulfilling legal duties connected thereto.

E-learning
If you register for an e-learning course, we process your data to the extent of providing it to the company providing the e-learning course. This is either NetLanguages or IH Campus. Cambridge exams
If you have registered for a Cambridge exam, we only process your data to ensure your participation in the exam, the realisation of the exam and issuing the results. Educational events
In order to be able to provide you with educational services and fulfil all the legal obligations connected thereto, we process your personal data in the extent of contact information and sometimes additional information, the processing of which is necessary for the provision of educational services. This personal information is processed within the legal norms and to fulfil the contract and the legal obligation for the purpose of securing your participation in the event and fulfilling legal duties connected thereto.

Marketing
Your personal data in the extent of name, surname, e-mail and phone number may occasionally be processed in order to approach you with the offer of our services and to inform you about our activities and news from the language education section. If you are our client, or have used our paid or unpaid services, we may process your personal data on the legal base of legitimate interest. Our legitimate interest is to approach you with offers connected to our previous business relations or to your area of interest. If you are not a client of ours and have not used our services in the past, we only process your data with the purpose of advertisement with your explicit consent. You can provide this consent electronically by registering for the newsletter. You can withdraw this consent at any time.

Newsletter
By registering for the newsletter, you are giving us consent to process your personal data in the listed extent. We shall use it to inform you regularly via email (approximately once a month) about our activities and the courses we are preparing. If you do not wish to receive these emails any longer, you may cancel your registration at any time by clicking on the “Unsubscribe from the Newsletter” link found in the footer of each email.

 

How to take back consent?

If we are processing your data with your consent, you may withdraw this consent at any time, namely by:

Who do we share your data with?

We only provide your information to third parties if it is unavoidable, in order to fulfil the contract or if there is a separate statute from which such a duty is derived. We make your data available to the tax registry office or other entitled subjects in the event of inspections.

for the purpose of providing services or realising marketing activities. Your personal data may also be processed by intermediate agents, i.e. firms which we have entrusted with the processing of your data based on a contract in compliance with GDPR. These agents are:

  • External lecturers
  • Mailchimp – a tool for bulk sending of emails
  • Survio – a tool for creating online surveys

How long do we store your data for?

We only store your data for the unavoidable time as defined by the purpose of the processing of this data. Personal data processed with the purpose of offering services is stored for a maximum of five years. Accounting documents are stored, according to the demands of law, for a period of 10 years.
Personal data processed for marketing purposes is stored for a period equivalent to that for which you have offered consent, that is 5 years, or less if consent is withdrawn. The consent itself is stored for one additional year, to allow us to demonstrate that we store personal data in compliance with GDPR.

 

Where do we transfer your personal data to?

Your personal data is transferred to a third country (US) in the context of providing services via agents based in this country and using Google and Facebook. This country offers sufficient guarantees of safeguarding your data.

How do we process your data?

We process your data in electronic and paper form. We do not use any means of automatized individual decision making.

 

How do we guarantee the security of your personal data?

The security of your personal data is paramount to us. To guarantee the protection thereof, we have adapted the necessary technical and organisational measures. We have adapted a policy of strong passwords. Personal information is coded as and when needed. The persons responsible for processing your data have been schooled and are bound by discreetness and secrecy.

 

What are your rights?

The right to access information
You have the right to know whether we are processing your information. If so, you may request the access to it. Based on your request, we will issue a confirmation containing information about the processing of your personal data by our company.

The right to adjustment
You have the right to be sure that the data we process is correct, complete and current. If your information is not correct or up to date, you can request a correction or addition of data.

The right to deletion
In some circumstances, you are entitled to have your information deleted. You may request this at any time. We will delete your personal information if:
  • We no longer need the information for the purpose for which it was provided
  • You withdraw your consent
  • You take issue with the processing of your data
  • Our processing of your data is not legal
  • Your data must be deleted, in order to fulfil your legal responsibility
  • If you are a child or a parent of a child, who has agreed with the processing of personal data online

The right to a limitation of processing
You can request a limitation of the processing of your personal information. If your request is approved, we will only store your information but not process it in any further way. We will limit the processing of your personal data, if:
  • You inform us that your information is incorrect – until such a time, when we have verified it
  • Our processing of your information is not legal but you disagree with its deletion and instead request that our processing thereof be limited
  • We no longer need your information, but you need to keep it registered with us in order to prove, demonstrate or defend your rights in some way
  • You object to the processing of your personal information until such a time that we have verified, whether our rightful interests override your reasons.

The right to portability of data
If we are processing your data in the necessary form, you have the right to request that we provide an electronic copy thereof (e.g. an XLM file or in CSV form) which will allow you to transfer this information into a different company. You can also request to directly transfer your information into said company. We will fulfil this request provided that you have provided us with your information yourself and have given us consent to process it.

The right to object
You have the right to object to our processing of your personal information. If we are processing your data for the purpose of direct marketing, you may object to the processing at any time. Based on the objection, we will delete your data.
If we are processing your data under the following circumstances, you may object to the processing for personal reasons:
  • Completing tasks with public interest or during the execution of public authority
  • For the reason of our legitimate interest
  • Creating the profile of a potential client

Final provision

These principles about the protection of personal data are valid since May 25th, 2018. We reserve the right to change these principles, if there are changes in the processing of personal information within our company.
